How do product samples work with Thai factories?
Expect to pay for most samples, especially custom ones, plus courier costs. Some factories credit the sample fee against your first bulk order, but only if agreed in advance. Before paying, confirm in writing what the sample will show, what it costs, how long it takes and whether the fee is refundable.
What kinds of samples are there?
- Stock sample — an existing product from the factory's range. Usually quick and inexpensive, useful to judge quality.
- Custom or development sample — made to your specification, branding or design. Takes longer and costs more because it needs set-up work.
- Pre-production sample — made from the actual production materials just before bulk production starts, to confirm everything is right.
Who pays, and is the fee refunded?
Factories commonly charge for custom samples, and the buyer usually pays the courier. Some factories deduct the sample fee from the first bulk order, often only if that order meets their minimum quantity and the agreed price. Get these conditions in writing before you pay — they are not automatic.
How long does sampling take?
It depends on the product and on how complete your specification is. Stock samples can be quick; custom samples involving new materials, prints or moulds take longer, and may need more than one round. A clear specification is the biggest factor you control.
How should you use the approved sample?
- Confirm in writing what the sample is meant to test — material, size, colour, finish or function
- Keep one approved sample, and ask the factory to keep a matching one
- Refer to the approved sample in your purchase order, so bulk production is measured against it
An approved sample is your reference if bulk production does not match what you agreed.
How can SiamPartner help?
We arrange samples with Thai factories in Thai, agree in writing what each sample must show, and can check samples or attend pre-production checks for you in Thailand — so what you approve is what goes into bulk production.
Common questions
Why does a single custom sample cost so much?
Set-up work — patterns, screens, moulds or line changes — is similar for one piece or a thousand. That cost falls on the sample when there is no order yet.
Should I approve a sample by photo?
Only for simple items. For anything where feel, colour, fit or finish matters, examine a physical sample before approving.
